Your regulars are the customers you know by face. A question or two asks them what they like and which dates matter to them — a favourite drink, a favourite flower, a birthday, an anniversary. The member answers once, and your club keeps the answer against their membership.
The dates are what make the Dates they told you about email work. Once a member has given you one, that email goes out a few days beforehand, every year, until they say otherwise. See Birthday and anniversary emails.
Writing your questions
Under the list of emails on the Emails tab is a card called What you ask your members. Tap Add questions — or Change, once you have some — to open the sheet.
Each question has four parts:
| Part | What it is |
|---|---|
| Emoji | Optional — ☕, 🌸, 🎂. Shown beside the question. |
| The question | As the member will read it: "What's your usual order?" Up to 120 characters. |
| Example answer | Shown faintly in the empty box, so they know the kind of answer you mean — "e.g. Oat flat white". |
| Answer type | Words or A date. |
You can ask up to twelve. Tap Save questions when you are done.
Rewording a question keeps the answers members have already given to it. Deleting a question means its answers are no longer kept.
A café might ask for a usual order and a birthday; a florist for a favourite flower and the dates that matter. You can add more at any time — every email with the Get to know you block starts asking the moment you save.
The same questions, in three places
It is one list, wherever you edit it from.
- In your emails. The Get to know you block shows your questions the way the page will ask them, with its own Tell us about you → button underneath. It shows nothing at all until you have written a question, which is why it is safe to leave switched on — the welcome email comes with it on. The block's settings choose how many of your questions the email shows (the page always asks all of them) and what its headline, its button and the small line underneath say. Change questions inside the block opens this same list.
- On the page the button opens. A page that asks all of your questions, with no password needed. On a phone with the members app installed, it opens in the app; otherwise it opens on the members website. It shows your logo and name, greets the member by first name — and if they tapped a particular question in the email, it opens at that question.
- In the member's app. Settings → Your info lists every club that has asked them anything, with their answers, which they can change or delete whenever they like.
What members can answer
- Words — one box, up to 200 characters.
- A date — a day and a month, with the year optional. Some date questions take a single date, like "Your birthday". Others let the member add several and name each one — "Mum's birthday", "Our anniversary" — up to 20 dates per member for your club.
- Nothing at all — empty boxes are simply not kept.
After saving, a member who is signed in is offered their card. One who is not is told this is their club card too, and offered sign-in and the app. Nothing on the page creates an account.
Who sees the answers
- The member writes them, changes them and deletes them — from the link in your email or from the app. When they clear an answer and save, it is gone from their record, not left blank.
- You write the questions, never the answers. The dates feed your reminder email automatically; no screen in the portal lists what members answered.
- No other business can see them. Answers are kept against the member's membership of your club only — the café next door never sees what your members told you.
The link in each email
The link in each email is made for one member and one club. It needs no password, because the point is to reach someone who joined at your counter and has never signed in to anything. It does not expire: someone opening last month's email to tell you their mum's birthday is doing exactly what you asked. And it can only ever write that member's answers for your club — nothing else.
In one sentence
Write up to twelve questions on the Emails tab; members answer them from the Tell us about you → link in your emails or in the app, and the dates they give you time your reminder email.
