Designing a club email

The email editor block by block — photos, words, colours, personalisation, templates, a test to your own inbox, and the settings each email sends with.

Every club email has its own design, and the design is yours: the words, the photos, the colours and the order things come in. Open the Emails tab in the Message Centre and tap Edit beside the email you want to change.

How the editor is laid out

Your email is shown as a list of blocks — a headline, a photo, some text, their balance, a button — with a live Preview beside it. The preview fills in a sample member, so you read "Sam", never a placeholder, and you can look at it as a phone or a desktop would show it. On a phone, Design and Preview are two tabs at the top of the screen.

Above the blocks sits the Sending panel: the switch that sends this email automatically, its subject line, where replies go, and any settings that belong to this email alone.

Working with blocks

  • Change a block — tap it to open it and change its words. Where a block has a photo slot, choose a photo and it is cropped to fit.
  • Add a block — tap Add at the top of the list and pick one from the library.
  • Move a block — the arrows beside it move it up or down. The header and the footer stay where they are.
  • Leave a block out — the switch on each block leaves it out of the email without deleting it.
  • Remove a block — open it and tap Remove this block at the bottom.

Photos keep their untouched original, and every new framing is cut from it — so re-cropping a photo never makes it blurrier.

The library also offers the reward they are working towards, two columns side by side, your social links and a link to the app.

Colours and type

Under Colours and type you set six colours, choose serif or sans for your headings and for your body text, and pick how rounded the corners are. A small preview shows the combination before you look at the whole email. These apply to every block — and most members will see them on a phone, so check the preview there.

Personalisation

Type these into any block, or into the subject line, and each member gets their own value:

The preview fills these in for its sample member, so you can see how a sentence reads before anyone receives it.

Not the same tags as message campaigns

Message campaigns use {name} and {campaignname}. In a club email, use the four above.

Subject line and replies

Set the subject in the Sending panel; it can use the same tags. Replies come to your account email unless you enter a different address under Replies go to.

Write this for me

If it is available on your account, Write this for me drafts the wording for you, based on your business and your reward. It only rewrites the words in blocks you already have — never the layout — and nothing is saved until you save it. Read it through before you do.

Templates, versions and designs

  • Start from a template — begin again from a different layout. For the welcome there is a warm one with photos, a clean and simple one, one that leads with the member's QR code, and a dark "after dark" look. Switching replaces your current design and its photos.
  • Restore previous version — brings your last saved design back, including after a template switch.
  • Your emails — every design you have. Start a new one, duplicate one, or delete one you are not using. A design that one of your emails sends cannot be deleted until you point that email at another one.

Settings that belong to one email

In the Sending panel of these three emails:

  • Milestone — which visit counts earn a thank-you. Tick any of the suggested 10, 25, 50, 100, 250 and 500, or add your own: any whole number of visits from 5 to 1,000. Up to six in all, and at least one — to stop them altogether, switch the email off instead. Each number sends once per member, and only to members who said yes to your offers.
  • Dates they told you aboutHow early to send: anything from on the day to 30 days before the date. A week is the default. See Birthday and anniversary emails.
  • Review request — nothing to set here. The panel tells you when the reviews engine sends it and where a tap on a star leads, with a link to change those in Review Setup. See Asking for Google reviews by email.

Test, save and share

  • Send me a test — sends the email as it stands right now to your own address, so you see it in a real inbox before any member does. Do this before you switch an email on.
  • Save — changes are live straight away: the next member who triggers the email gets the saved version.
  • Copy to my other sites — if you run more than one shop on Loyalty Club and we have linked them for you, this copies the design you are looking at to the others, replacing the design of the same name on each. Run several shops and do not see it? Ask us.

Tips

  • Keep the QR code block. It turns the email into the member's loyalty card at the till — the most useful thing an email can be for someone who never installs the app.
  • Leave Get to know you switched on. It shows nothing at all until you have written a question, so it is safe to leave in — and the moment you add one, every email with the block starts asking it.
  • Check it on a phone. That is where most members will read it. Send yourself a test and open it on your own phone.
  • Never promise a reward for a Google review. Do not write anything near a Star rating block that says a stamp or reward is given for reviewing you on Google. Google and the FTC both forbid rewarding public reviews.

In one sentence

Emails → Edit opens your email as a list of blocks beside a live preview: change the words, photos and colours, send yourself a test, then save — and the next member gets it.
