A birthday is the easiest reason to get in touch there is. The Dates they told you about email goes out a few days before any date a member asked you to remember — their birthday, an anniversary, the day they got the dog — every year, on its own.
One email, two doors
On the campaign-type screen of the message wizard you will find Birthday emails and Anniversary emails. They are the same thing: both open the design of the Dates they told you about email, rather than walking on through the wizard. It is also on the Emails tab with the other four.
A member who tells you their birthday and their wedding anniversary gets one email before each, from the same design — because both are simply dates they gave you.
Set it up
- 01Ask for a date
On the Emails tab, open What you ask your members and add a question whose answer type is A date — "When's your birthday?" Without a date question no member can ever give you a date, and this email will correctly do nothing, forever. See Asking your members questions.
- 02Design it, and choose how early
Tap Edit on Dates they told you about. In the Sending panel, How early to send sets how many days before the date it goes: a week by default, anything from on the day to 30 days before.
- 03Send yourself a test, then switch it on
Like every club email, it starts switched off. Turn it on once the design is yours.
When it sends
- Every morning at seven, the platform looks ahead by your chosen number of days and finds members whose dates fall inside that window.
- Once per date, per year. Nobody is reminded twice about the same birthday.
- Never more than two in a day. No member gets more than two date emails from your club on the same day.
- Only to members who said yes to your offers and have not unsubscribed from your club.
- From the latest answers. Members can change or clear their dates at any time in the app, and each morning's look-ahead uses whatever is there that morning.
Write it for any occasion
One design covers every date a member gives you, so write it to suit a birthday, an anniversary or anything else they might tell you about — "Something special coming up?" works for all of them. The personalisation tags fill in their name, your business, their reward and their stamps, but not which date it is, so avoid wording that assumes it is always a birthday.

Why nothing has been sent yet
Expect nothing for the first few weeks: the email can only be as busy as the dates you have been given. If still nothing has gone, check:
- Is there a date question? Nothing can be given until you ask.
- Has anyone answered? Answers arrive as members open your emails or visit Settings → Your info.
- Is the email switched on? It starts off.
- Did those members say yes to your offers? A member who said no gets your welcome email and no others.
- Is a date inside the window yet? With a seven-day lead, only dates in the coming week are picked up; later dates are picked up on the morning they come into range.
